ShareFile Files and Folders Test

Files within Content Collaboration can be grouped into folders in order to organize the files and manage permissions. If these files and folders are allowed to grow uncontrollably, then at some point in time, Content Collaboration will have no storage space for new files. Such an eventuality, may not only impact user productivity but may beat the very purpose of Content Collaboration. To avoid this, administrators should closely monitor the rate at which the number of files and the size of folders in a Content Collaboration account are growing, proactive detect alarming growth patterns, and promptly take action to curb the growth, so as to conserve storage space. This is exactly what the ShareFile Files and Folders test does!

This test tracks the growth in the number and size of files and folders (respectively) and sends out email/SMS alerts to users if unusual/disturbing growth patterns are noticed. In addition, detailed diagnostics provided by the test also points administrators to those folders that are used the least. This information helps administrators know which folders are ideal candidates for deletion when efforts are taken to reduce space consumption in a Content Collaboration account.

Test period

How often should the test be executed

Host

The host for which the test is to be configured.

Port

The port at which the Host listens. By default, this is NULL.

Email ID

Provide the email ID of the Citrix Content Collaboration user with ‘Admin’ access to Citrix Content Collaboration. The credentials of this user are necessary for connecting to the Citrix Content Collaboration REST API, running API commands, and pulling out metrics.

Password

Specify the password associated with the configured Email ID.

Confirm Password

Confirm the Password by retyping it here.

SSL

  • Indicate whether/not Content Collaboration is SSL-enabled. By default, this flag is set to Yes.
  • Days

    Here, specify the period of inactivity beyond which a folder is counted as a Least used folder by this test. For instance, if the number 30 is specified against days, then this test will include all folders that have not been accessed even once in the last 30 days (or more) in the Least used folderscount. Similarly, all folders that have been used at least once in the last 30 days will be counted as Most used folders.

    Proxy Host, Proxy Port, Proxy User Name, Proxy Password and Confirm Password

    These parameters are applicable only if the eG agent needs to communicate with the Citrix Content Collaboration portal via a Proxy server.

    In this case, provide the IP/host name and port number of the Proxy server that the eG agent should use in the Proxy Host and Proxy Port parameters, respectively.

    If the Proxy server requires authentication, then specify the credentials of a valid Proxy user against the Proxy User Name and Proxy Password text boxes. Confirm that password by retyping it in the Confirm Password text box. If the Proxy server does not require authentication, then specify none against the Proxy User Name, Proxy Password, and Confirm Password text boxes.

    On the other hand, if the eG agent is not behind a Proxy server, then you need not disturb the default setting of any of the Proxy-related parameters. By default, these parameters are set to none.

    Detailed Diagnosis

    To make diagnosis more efficient and accurate, the eG Enterprise embeds an optional detailed diagnostic capability. With this capability, the eG agents can be configured to run detailed, more elaborate tests as and when specific problems are detected. To enable the detailed diagnosis capability of this test for a particular server, choose the On option. To disable the capability, click on the Off option. The option to selectively enabled/disable the detailed diagnosis capability will be available only if the following conditions are fulfilled:

    • The eG manager license should allow the detailed diagnosis capability
    • Both the normal and abnormal frequencies configured for the detailed diagnosis measures should not be 0.

    Folders

    Indicates the total size of all folders in the Content Collaboration account.

    Indicates the percentage growth in the size of folders since the last measurement period.

    Percent

    A very high value for this measure is a cause for concern as it indicates that folder size is growing rapidly. To curb the growth, you may want to remove unused/seldom used folders from the storage zone.

    Asynchronous operations

    Indicates the number of asynchronous operations performed on the Content Collaboration account.

    Most active folders

    Indicates the number of folders used actively.

    Number

    This measure reports the count of folders that have been accessed at least once in the number of days configured for this test.

    Use the detailed diagnosis of this measure to know which folders have been actively used.

    Least used folders

    Indicates the number of folders that have been used less.

    Number

    This measure reports the count of folders that have not been accessed even once in the number of days configured for this test.

    Use the detailed diagnosis of this measure to know which folders have been seldom accessed.

    Files

    Indicates the total number of files in the Content Collaboration account.

    Indicates the percentage growth in file count since the last measurement period.
